Refund Policy

At Awesome Hire, we aim to deliver an outstanding service every time. These terms and conditions apply to all bookings made with us, as well as any future or additional work. Any amendments or extensions must be confirmed in writing. All equipment remains the property of Awesome Hire at all times.

By placing a booking with us — whether verbally or by email — you confirm that you have read, understood, and agreed to these terms in full.

Booking Confirmation

A booking is considered confirmed once the client has accepted a quote from Awesome Hire, either verbally or in writing. This acceptance binds both parties to the terms outlined here.

If your event involves any public promotions or activations, it is your responsibility as the client to obtain any necessary permissions from venues, councils, or authorities in advance.

Advance Payment for Large or High-Risk Bookings

For bookings exceeding £2,000 for new clients or £10,000 for existing clients, a 50% advance payment is required. If you are a sole trader, start-up, charity, or have limited trading history, full payment may be requested upfront.

International bookings may also require advance payment in full or in part. Awesome Hire reserves the right to request prepayment for any booking at its sole discretion, especially where significant planning, staffing, branding or logistics are involved.

Prices, Deposits & Payments

All prices are quoted exclusive of VAT unless stated otherwise.

To secure your booking, a non-refundable deposit of at least 25% is required. The remaining balance must be paid in full no later than seven days before your event date.

For clients with approved credit terms, payment is due strictly within 30 days from the date of invoice, unless otherwise agreed in writing. Overdue invoices may incur interest charges in line with the Late Payment of Commercial Debts Act 1998 — currently 10% above the Bank of England base rate — along with a £40+VAT late payment fee per invoice.

In cases of non-payment, we may engage a debt collection agency, and you will be liable for any associated recovery costs. Payment is accepted by bank transfer (details on invoice), or by debit/credit card (2% fee applies for card payments).

Cancellations & Refunds

We understand that plans can change, but we do operate a strict refund policy to protect our availability and resources.

If Awesome Hire must cancel due to circumstances beyond our control — such as vehicle or equipment breakdown or unforeseen staff shortages — we will issue a full refund of any deposit or payment made . Please note that cancellations for reasons related to health and safety, incorrect surface, or insufficient space are not refundable , as these are confirmed during the booking process and remain the client’s responsibility.

If you need to cancel your booking, you must do so by phone during normal office hours. We’ll confirm all cancellations by email, which you should keep for your records. We do not accept cancellations by voicemail, text message, or email alone.

Deposits and payments are non-refundable , and the following cancellation charges apply:

  • Within 8 weeks of the event: 25% of the total fee

  • Within 6 weeks: 50%

  • Within 4 weeks: 75%

  • Within 2 weeks: 100% (full balance due)

In some cases, we may offer to rebook your hire for a different date as a goodwill gesture, but this is not guaranteed.

Dry Hire Terms

If you’re hiring our equipment without staff (dry hire), you are fully responsible for its safekeeping during the hire period. The hirer agrees to take all necessary steps to protect the equipment from loss or damage and is liable for any repair or replacement costs.

Equipment may not be moved, altered, re-hired, or used in any way that is not expressly approved by Awesome Hire. Lost or damaged items will be charged at the full daily hire rate until resolved in full.

Site Access & Safety

Equipment will be set up in the agreed location and must not be moved once installed. If access is unsuitable (e.g. stairs, long carry distances) and we have not been informed, we reserve the right to refuse setup — and no refund will be given.

It is your responsibility to ensure the site is suitable, safe, and secure, with proper crowd control measures in place. If at any point our staff feel that guest conduct puts people or equipment at risk, we reserve the right to cease operation and remove equipment without refund.

Equipment Handover & Liability

We are happy to demonstrate equipment functionality before your event. Once the equipment is handed over, we are not liable for damage in transit when clients collect items themselves. Payment remains due in full.

Awesome Hire is insured for public liability when equipment is operated by our team (wet hire). Equipment hired without supervision is not covered by our insurance, and clients must ensure appropriate cover is in place.


Governing Law

This agreement is governed by the laws of England, and both parties agree to submit to the non-exclusive jurisdiction of the English courts.
